This Privacy Policy ("Policy") describes how TranscriptAI Pty Ltd ("TranscriptAI", "we", "us" or "our") collects, uses, discloses and otherwise handles personal information in connection with our services.

TranscriptAI is a software-as-a-service (SaaS) platform that provides AI-powered audio transcription, study tools and related services. We are an Australian company located in Sydney, New South Wales, Australia.

This Policy applies to personal information collected through transcriptai.io, all TranscriptAI applications and any related services (collectively, the "Services"). We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles ("APPs").

By using the Services, you acknowledge that you have read and understood this Policy. If you do not agree with this Policy, you must not use the Services.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address and password. You may optionally provide a profile picture or other profile details.

2.2 Uploaded Content

When you use the Services, you may upload or provide audio recordings, transcripts, documents, images, videos and other files ("User Content"). This content is processed solely to provide the Services to you.

2.3 Communications

When you contact us for support or other enquiries, we collect the information you provide in your communications, including your email address and the content of your message.

2.4 Payment Information

Payment processing is handled by our third-party payment processor, Stripe. When you make a payment, Stripe collects your payment card details, billing address and related financial information. TranscriptAI does not receive or store your full payment card details. We receive only limited transaction information (such as confirmation of payment, transaction amount and the last four digits of your card) from Stripe. Stripe's handling of your payment information is governed by Stripe's Privacy Policy.

2.5 Automatically Collected Information

Usage Data

We automatically collect information about how you interact with the Services, including timestamps, feature usage, pages visited and actions taken within the platform.

Device Data

We collect information about the device you use to access the Services, including IP address, device type, operating system, browser type and unique device identifiers.

Cookies and Similar Technologies

We use cookies and similar technologies to maintain your session, remember your preferences and understand how you use the Services. Strictly necessary cookies are required for the Services to function. You can manage cookie preferences through your browser settings, though disabling certain cookies may affect functionality. 3. How We Use Your Information

We use the personal information we collect for the following purposes:

  • Providing the Services: To create and manage your account, process your audio recordings using artificial intelligence, generate transcripts, and deliver the features and functionality of the platform.
  • AI Processing: Audio recordings you upload are processed using artificial intelligence technologies to generate transcripts, summaries, study materials and other outputs. This processing is performed solely to deliver the Services to you.
  • Improving the Services: We may use de-identified or aggregated data (which does not identify any individual) to analyse usage patterns, improve our AI systems and enhance the overall quality of the Services.
  • Communications: To respond to your enquiries, provide customer support and send you service-related notifications.
  • Updates and Marketing: To send you product updates and news about the Services. You can unsubscribe from marketing communications at any time using the unsubscribe link in each email.
  • Security and Fraud Prevention: To monitor for and prevent fraudulent activity, enforce our terms and protect the security and integrity of the Services.
  • Legal Compliance: To comply with applicable laws, regulations and legal processes.

4. Use of Artificial Intelligence and De-identified Data

TranscriptAI uses artificial intelligence to process audio recordings and generate transcripts, summaries and study materials. Your uploaded content is processed only to provide the Services to you.

We may use de-identified or aggregated data, data from which all personally identifying information has been removed, to train, improve and develop our AI systems. De-identified data cannot be used to identify any individual. We do not use your identifiable personal information or identifiable User Content to train AI models.

5. Third-Party Service Providers

We share personal information with the following categories of third-party service providers who assist us in operating the Services:

  • Infrastructure Providers: Cloud hosting and data storage providers that host and maintain the technical infrastructure for the Services.
  • AI Processing Providers: Artificial intelligence service providers that power the transcription, analysis and generation features of the platform.
  • Analytics Providers: Services that help us understand usage patterns and improve the Services.
  • Payment Processing (Stripe): Stripe handles all payment processing. TranscriptAI does not store your payment card information. See Stripe's Privacy Policy.

We may also disclose personal information where required by law, to comply with legal processes, to protect our rights and safety, or in connection with a merger, acquisition or sale of assets.

TranscriptAI does not sell personal information.

6. International Data Transfers

TranscriptAI is based in Australia. Some of our infrastructure providers, AI processing providers and other service providers may operate in countries outside Australia. As a result, your personal information may be transferred to, stored or processed in jurisdictions outside Australia.

Where we transfer personal information overseas, we take reasonable steps to ensure that the overseas recipient handles your personal information in accordance with the APPs, as required under Australian Privacy Principle 8.

7. Data Retention

We retain your personal information for as long as necessary to provide the Services, fulfil the purposes described in this Policy, or as required by law. When personal information is no longer needed, we take reasonable steps to destroy or de-identify it.

You may request deletion of your account and associated data at any time by contacting us at admin@transcriptai.io. Certain information may be retained where required for legal, regulatory or legitimate business purposes.

8. Your Privacy Rights

Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles, you have the following rights in relation to your personal information:

  • Access: You have the right to request access to the personal information we hold about you.
  • Correction: You have the right to request correction of any personal information that is inaccurate, out of date, incomplete, irrelevant or misleading.
  • Deletion: You may request deletion of your personal information by contacting us. We will take reasonable steps to comply, subject to any legal obligations to retain certain information.

Complaints

If you believe we have breached the APPs or handled your personal information inappropriately, you may lodge a complaint with us by emailing admin@transcriptai.io. We will investigate and respond to your complaint within a reasonable period.

If you are not satisfied with our response, you have the right to lodge a complaint with the Office of the Australian Information Commissioner (OAIC). You can contact the OAIC at www.oaic.gov.au or by phone on 1300 363 992.

9. Data Security

TranscriptAI implements reasonable physical, technical and administrative safeguards to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. These measures include encryption of data in transit and at rest, access controls and regular security assessments.

However, no method of transmission over the internet or electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee absolute security.

10. Children's Privacy

The Services are not intended for individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16, we will take steps to delete that information promptly. If you believe a child under 16 has provided us with personal information, please contact us at admin@transcriptai.io.

11. Changes to This Policy

We may update this Policy from time to time. When we make material changes, we will update the effective date at the top of this page and, where appropriate, notify you through the Services or by email. We encourage you to review this Policy periodically.
